What is Verifactu? A Simple Guide for My Clients

Hi everyone!

I wanted to share some important news that will affect all businesses and self-employed professionals in Spain - possibly even you if you issue invoices. Don't worry, I'll keep this as simple and easy to understand as possible.


So, what is Verifactu?

Verifactu is a new system created by the Spanish Tax Agency to ensure that invoices are genuine, accurate, and can't be altered once they're sent. The goal is to combat tax fraud and increase transparency.

This means that soon, your invoicing software will need to automatically send each invoice to Hacienda (the Spanish tax authority) as soon as "it's created". And that's it!


Why is this happening?

Currently, some businesses can alter or conceal invoices from the tax system. With Verifactu, everything is tracked in real-time. This helps build trust and makes sure everyone is playing by the same rules.


When should I adapt my invoicing software to Verifactu?

The Verifactu system will become mandatory in 2026, meaning that all companies and self-employed professionals in Spain must use adapted invoicing systems by then.

Here's how the rollout works:

  • From July 29, 2025: If you're already using an approved invoicing system that meets Verifactu requirements, you won't need to change software—just update it and activate the real-time sending feature.

  • From January 1, 2026: All companies (those that pay corporate tax) must be using Verifactu-compliant software. Failing to do so could result in penalties.

  • As of July 1, 2026, this is the deadline for self-employed professionals (autónomos) to comply.

Your software must be able to send invoices directly to the Spanish Tax Agency (AEAT) automatically, ensuring that each invoice is locked, secure, and properly stored.

The transition period is nine months from the official publication of the final rules, so it's a good idea to prepare well in advance of that deadline to avoid any last-minute stress.

It's a good idea to start preparing early to avoid last-minute headaches.


How do I know if my software is ready for use?

Your invoicing program will need to:

  • Be approved by the tax agency.

  • Be able to send invoices directly to Hacienda.

  • Include a QR code on each invoice.

  • Keep records safe and unchangeable.

Most reputable software providers will take care of this for you, but it's essential to verify. They'll need to sign a declaration saying they follow all the new rules.


What's the deal with the QR code?

Every invoice will now have a QR code printed on it. This allows Hacienda or your clients to scan the invoice and instantly verify its validity. It's a quick and easy way to confirm that the invoice is genuine and hasn't been altered.


What should I do now?
  • Ask your software provider if they are working on Verifactu compliance.

  • Don't panic – there's still time, and the goal is to make things easier and more transparent in the long run.

  • Start planning now, especially if you'll need to change or upgrade your invoicing system.


Can I use a free software APP for this?

According to the tax office, I am reading this as a YES! See the tax office leaflet attached

You'll be able to issue invoices using the free official Verifactu invoicing app that the Spanish Tax Agency will make available through their website: www.sede.agenciatributaria.gob.es

Important Note:

The Spanish Tax Agency has an official list on its website of software currently approved for certified invoice digitisation - this is not the same as the future Verifactu-approved list.

If you're using software that isn't on this list, it may not meet today's minimum standards, and it likely isn't prepared for Verifactu.

Make sure your invoicing software is either on the approved list or that your provider is actively working to meet the new Verifactu requirements.
